Rental Policies

PAYMENT OPTIONS:  Payments can be made by Visa, Mastercard, American Express, or Discover.  We require 30% down to reserve unless your reservation is made within 30 days of arrival date, then the full amount of your reservation is due at the time of booking. For reservations made outside of the 30 days prior to your arrival date, then the balance of your payment is due 30 days prior to your arrival date for condos for daily or weekly rentals and your balance is due 60 days prior to your arrival date for houses & monthly rentals. A Credit/Debit Card Number is required to be on file for all rentals.  Credit/Debit Card is our preferred method of payment, and you may call our office at 800.488.8978 option 1, to make payment for your Getaway.

***IMPORTANT*** 7 days prior to your arrival date Beach Getaways will email you Arrival Instructions & Directions to the property.  You will NOT be able to access the property without these documents, so please make sure to monitor your email for them (including spam/junk folder).  Most properties are equipped with Code-Operated front door locks, and the code will be contained in the Arrival email so that you can enter the property on the Arrival Date stated above. Your reservation is not confirmed until we have approved the completed Rental Agreement and Received Final Payment, and if these items have not been met, we will NOT email the Arrival info.

RESERVATION DEPOSIT:  A reservation deposit of 30% of the total rate is due at the time you set up your reservation.  The reservation deposit is applied as pre-paid rent towards full payment of reservation and therefore not refunded after departure.  Guests are financially responsible for any damage sustained during their stay, not covered by the “Accidental Damage Waiver”.

3RD PARTY ONLINE TRAVEL WEBSITE CHARGES:  If you booked online through VRBO/Homeaway, AirBnB, or similar 3rd party online travel website, you will receive an additional charge from them for their travelers/service fee.  This will be in addition to the charges from Beach Getaways.  If you have any questions regarding these fees, you will need to contact the 3rd party you booked your reservation through.

CONFIRMATION:  We will email you a Reservation Confirmation of your reservation upon receipt of the Rental Agreement and Reservation Deposit.  Please review the Reservation Confirmation carefully to verify the property rented, the dates of the rental, the applicable charges, and any special notes.  Contact our reservations department within 7 days of emailing to report any errors.  After 7 days the Reservation Confirmation is considered accurate.  We reserve the right to substitute comparable accommodations at the same rates without notice or liability in the event of a sale of the vacation property or if the unit becomes unavailable.

OCCUPANCY LIMIT:  The Maximum Number of Guests allowed at the property at any one time is {reservations.unit_max_occupants}. These numbers are governed by association by-laws and owner preferences.  (Exception may be made for one infant 2 years or younger) Sofa and bunk beds are recommended for use by children.  You cannot exceed the Maximum Number of Guests listed for this property.

MINIMUM AGE REQUIREMENT: Vacation properties will only be rented to married couples age 21 and older, or single persons 25 years and older.  A PARENT OR GUARDIAN MUST BE STAYING IN THE RENTAL PROPERTY AT ALL TIMES.  OUR RENTAL PROPERTIES ARE MONITORED FOR VIOLATION OF THIS POLICY.  We do not rent to chaperoned groups.  Reservations made under false pretenses will be subject to eviction and forfeiture of all deposits and payments.  NO EXCEPTIONS!  House parties are not allowed!  Beach Getaways personnel reserves the right to enter the vacation property anytime to investigate disturbances, occupancy and/or damage.  The qualifying person renting the property is responsible for the conduct of all guests and other occupants, and must occupy the property for the full term of the reservation.  You cannot exceed the Maximum Number of Guests listed for this property.

PARKING PASS/ARMBANDS:  The maximum number of cars allowed at the Property at any one time is 2.  Some are restricted to 1 vehicle.  Parking passes must be purchased from the front desk upon arrival ($20-$50/pass).  No Parking of boat or Jet Ski trailers, and NO RV’s.  Some properties require armbands for use of the facilities, and these can be purchased/picked up from the front desk.

PETS:  Some of our properties are Pet-Friendly for dogs up to 25lbs. We require a non-refundable pet fee of $250 with a limit of 2 dogs allowed. There is a separate Pet Addendum that must be signed before your Arrival Instructions are sent. Pets on the properties that are NOT designated as Pet-Friendly will be immediate grounds for eviction & forfeiture of all funds.

NO SMOKING:  This property is a Non-Smoking property inside the unit and on balconies. NO EXCEPTIONS. There are designated smoking areas on the grounds.  Smoking inside this property will be immediate grounds for eviction & forfeiture of all funds. If smoking or the odor of smoke is detected upon your departure by our Housekeepers you will be charged the full cost of smoke remediation. The cost for smoke remediation is typically upwards of $500 and by completing and submitting this agreement you are hereby giving us permission to collect these charges on the same Debit/Credit Card that you provided for the reservation of this property.

CANCELLATION: Cancellations that are made at least 30 days prior to your arrival date for condos for weekly or daily rentals and cancellations that are made at least 60 days prior to your arrival for houses & monthly rentals will receive a 100% refund of all reservation deposit, rent, taxes and fees less a $100 Cancellation Fee.

Cancellations that are made at least 14 days prior to your arrival date for condos for weekly or daily rentals and cancellations that are made at least 30 days prior to your arrival for houses & monthly rentals will receive a 50% refund of all reservation deposits, rent, taxes and fees less a $100 Cancellation Fee.

NO REFUNDS are issued for early departures due to inclement weather or personal circumstances inside the cancellation date range. Beach Getaways does not provide refunds for unforeseen developments such as medical emergencies, illnesses, hurricane or similar events. In the event that a Mandatory Evacuation is ordered by Local Authorities due to a hurricane or tropical storm, all unused rents for the nights while the evacuation order is in effect will be refunded. If the property is uninhabitable due to storm damage all unused rents and fees, less the $100 cancellation fee will be refunded. We strongly recommend purchasing travel insurance from a 3rd party if your reservation dates are during the hurricane season.

All cancellations are subject to a Cancellation Fee of $100.00.

TRAVEL INSURANCE: Vacation Rental Insurance has been made available with your reservation. Vacation Rental Insurance provides coverage for the loss of prepaid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. Trip Cancellation and Trip Interruption coverage is available for events such as sickness or injury of yourself, family member or traveling companion; flight delays due to adverse weather; interruptions of road service; terrorist acts; and mandatory evacuations. The plan also includes other valuable coverages such as Medical and Dental, Baggage, and Emergency Assistance and Transportation in addition to useful services such as identity theft, concierge and 24/7/365 emergency assistance. We strongly recommend you purchase this valuable protection. CHECK-IN: (3:00 PM) The check in procedure has been eliminated by the use of keyless code operated locks and prepayment by Credit/Debit Card.  We will email the code for the lock that is on your condo 7 days prior to arrival, provided that your total rental balance has been paid in full and your Rental Agreement has been completed.  You cannot arrive and enter your condo before 3PM. Codes will not start working prior to check in time.   During peak summer periods, check-in to property may be delayed because of our commitment to provide a clean unit.

CHECK-OUT: (10:00 AM) Check out is by 10:00 AM for all properties.  Guests who delay check out beyond 10:00 AM will be charged for an additional day.  Guest charges include a cleaning   arranged as you found it, placing garbage in the outside receptacles, setting the thermostat to 74 degrees (April to October) & 68 degrees (November to March), closing and locking all doors and windows.  PLEASE DO NOT MAKE UP THE BEDS.

ACCIDENTAL DAMAGE WAIVER PROTECTION FEE:  A mandatory accidental Damage Waiver Protection fee of $49.00-$79.00 is included in all reservations and payable at time of reservation.  This damage waiver covers you and your vacation party for up to $1,000 on a Condominium; $1,200 on houses; worth of reported accidental property damage.  All intentional damages or those in excess of $1,000 on a Condo; $1,200 on a house; are the responsibility of the person named on the reservation.  Any damage over the above stated amounts will remain your obligation and may be charged to the credit card on file (if for any reason such charges are not able to be charged to the credit card on file, you agree to pay us within ten (10) days of notice of such charges).

CLEANING:  Our cleaning includes the stripping and remaking of the beds with fresh linens, light dusting, vacuum and mopping of floors, clean and sanitize bathrooms.  If additional cleaning is required after your checkout, furniture repositioned, or linens missing, your Credit/Debit Card will be charged for the additional cleaning service.  Additional Housekeeping Services and additional linens are available for a fee.  Check with our Booking Agent for prices.  The departure/cleaning fee is added to ALL reservations.

FURNISHINGS:  The vacation property is a privately owned home or condo decorated to satisfy the particular tastes and desires of the owner.  The condition of the unit and furnishings vary according to the age of the property and the care given by the owner.  Please be considerate of the belongings of the owner and to the people who will be renting the unit after you.  If you require special equipment or appliances, please bring them with you.  Moving of the furniture is absolutely prohibited.

MAINTENANCE:  Please report any damage or malfunction of equipment to our Housekeeping & Maintenance Department at 800-488-8978, “option 2” as soon as possible.  Failure to do so may incur some liability to the guest.  Repairmen may enter the premises during normal working hours for the purpose of repair.  Working conditions of pools, hot tubs, air conditioners, televisions, VCR/DVD players, appliances, elevators, etc. are NOT guaranteed.  No refunds or rate adjustments will be made for mechanical failures.   Most properties provide Broadband Internet access through 3rd party Internet Service Providers. Internet and phone service if provided are not guaranteed. We will not provide any refunds or rate adjustments for interrupted service. Beach Getaways cannot make any service requests for these services as the 3rd party service provider will only respond to the customer on site.

GRILLING:  Fire department regulations prohibit the use of grills on all decks, porches and balconies.  Some complexes have common area grills for guest use.

FIREWORKS:  The use of fireworks is prohibited on all of our vacation properties.  Local City ordinances and fire code prohibit the use of fireworks on beaches, buildings, or grounds.

USE OF FACILITIES:  By accepting occupancy of the vacation property, the guest agrees to hold harmless the property owner, the management company, and the association for accidents or injuries sustained while using available facilities.  By using these facilities, the guest assumes responsibility and liability for their own actions.

LOCKOUT:  Some of our units still operate with a keyed lockset.  In the event a guest becomes locked out, a $65 service fee will be charged during normal working hours for reentry, and a $95 service fee for after hours or Sunday.

AGENCY DISCLOSURE:  Beach Getaways serves as the agent and representative of the owners of properties on the rental program, and is always acting in and for the best interest of the owners.  Prepaid rent may be held in an interest bearing account with interest accruing to the benefit of Beach Getaways.

SUBSTITUTIONS:  We reserve the right to move a reservation to a different comparable unit, if the reserved unit becomes unavailable, without notice or liability.  When a comparable unit is not available, the guest will have the option of selecting from available units at the published rate or receiving a complete refund of their reservation deposit.  We will make every effort to notify the guest of any changes when possible.

ERRORS & OMISSIONS:  Every effort has been made to insure the accuracy of all printed, recorded, displayed and spoken information.  Errors in price and description can occur and Beach Getaways reserves the right to correct such errors; however, we cannot give refunds.  Beach Getaways is not responsible for changes in furnishings and equipment by the owners.  Rates, descriptions and availability are subject to change without notice.

VIOLATION OF ANY OF THE ABOVE POLICIES:  Many of the above policies are designed to comply with local laws, ordinances, association by-laws or other compliance requirements of Beach Getaways and the owners.  The above policies are designed to protect the rights of the owners as well as other guests and foster a vacation atmosphere that is fun and enjoyable by everyone.  By accepting occupancy, guests agree to abide these policies.  Guests who violate any of the above policies are subject to eviction and forfeiture of all payments.  Any reservation made under false pretenses will result in forfeiture of advance payment and the guest will not be allowed to check in.

CREDIT/DEBIT CARD AGREEMENT:  I am providing my Credit/Debit Card number as a guarantee of payment to Manager.  I agree to pay all rent and charges related to property rental.  I accept all terms of this rental agreement and accept all liability for rent and charges related to property rental, as well as any damage beyond normal wear and tear during the term of my lease with Manager.  I understand that these costs will be charged to my Credit/Debit Card on file.  In the absence of another payment arrangement, I authorize Manager to charge my Credit/Debit Card for payment of these items.

Below is a list of of the complimentary starter supply of paper products and toiletries that will be provided at the property upon your arrival.  We supply ALL Bath Towels & Bed Linens. You will be responsible for laundry and cleaning during your stay. You will need to supply your own beach towels.

  • 1 roll of toilet tissue per bathroom
  • 1 vanity and 1 bath bar soap per bathroom
  • 1 roll of paper towels
  • 1 dishwashing tab
  • 1 trash bag per trash can
  • 1 laundry detergent pack
